Job Title:
Administrative Assistant to
Financial Advisor Overview:
Looking for a motivated individual to be the right hand to a Financial Advisor. You will be assisting with day to day operations and scheduling. These day to day operations will consist of fielding phone calls, handling emails, billing/book keeping, and scheduling. An additional role of this position will be leading our Marketing/Social Media and Community Involvement. This position will require exceptional organization, motivation, and a true commitment to giving our best to our clients.
Responsibilities:
1. Administrative Support
  • Help manage and fill calendar, field phone calls, mailings, emails, handle billing and transmittals. 2. Client Correspondent
  • be able to field questions and take messages from clients. Be able to provide excellent service and provide proper instructions to clients. Be able to build your own relationship with clients for yourself as well as myself even when the client doesn't necessarily speak to me. Build rapport. 3. Filing, Documentation, and Record Keeping
  • Be able to stay organized through physical paper and electronic paperwork and forms. Understand how to file paperwork correctly and in proper order to make it easy to retrieve later. 4. Account & Policy Management
  • Be able to answer questions for clients that are policy specific. (Insurance Licensing will be required). Know how to access client accounts and policies through our CRM. 5. Meeting/Appointment Preparation
  • Gather materials and necessary paperwork and information for client appointments. Collect necessary information from the client before the appointment so time isn't wasted in said appointment. 6. Marketing & Social Media
  • Prepare marketing materials and campaigns to share around the office, in meetings, in public, and on social media. Be our marketing contact point and scheduler for public events. 7. Production
  • Always be helping me look for sales opportunities, in and out of the office.
Qualifications:
Ø Organizational Skills
  • Optimal organization and attention to detail will make this role much simpler. This will allow the day-to-day operation run much smoother as well as cover us for any client disputes. Ø Confidentiality
  • Keep client information secured and in house at all times. This is crucial in our efforts to maintain our integrity and responsibility to our clients. Ø Excellent Communicator
  • this applies to in person conversations as well as phone, emails, and memos. Communication is key in this business and talking to people is a constant to remain successful. Ø Tech Proficiency
  • Be comfortable operating on a computer and answering phones. Ø Be Motivated & Driven

$17.00
