Office Administrator A large international agriculture and commodities organization is seeking an organized and dependable Office Administrator to support daily operations at its grain facility in Illinois. The company operates across agricultural supply chains including grain handling, food production, and energy-related services, supporting customers both domestically and internationally. This opportunity is ideal for someone who enjoys working in a fast-paced office environment while supporting logistics, customer service, and operational coordination within the agricultural sector. The position follows a standard Monday-Friday schedule with opportunities for additional hours during busy harvest and seasonal periods. Position Overview The successful candidate will provide administrative and operational support to the grain team, assisting with scale operations, customer interactions, inventory documentation, and transportation coordination. The role requires strong attention to detail, communication skills, and the ability to manage multiple responsibilities efficiently. Key Responsibilities Perform day-to-day administrative duties accurately and within required timelines. Answer incoming calls, welcome visitors, and direct inquiries to the appropriate team members. Prepare and process customer contracts, invoices, transfers, and related documentation. Enter and maintain accurate records across multiple internal systems. Process payments, reconcile transaction receipts, and prepare financial deposits. Coordinate truck scheduling activities, record shipment details, and assist with scale documentation. Organize and maintain both electronic and physical filing systems. Monitor office supply inventory and maintain an organized workspace. Assist with scheduling meetings, arranging logistics, and distributing meeting materials. Support preparation of reports, presentations, contact lists, and internal documents. Communicate effectively with managers, customers, and external stakeholders. Handle multiple assignments while meeting operational deadlines. Maintain confidentiality when handling sensitive company and customer information. Promote workplace safety and follow all company safety standards and procedures. Assist with additional operational or administrative tasks as needed. Required Qualifications High school diploma or equivalent qualification. Previous experience in administrative support, office coordination, or facility operations. Basic knowledge of office systems and administrative procedures. Minimum age requirement must be met for the position. Preferred Qualifications Proficiency with Microsoft Office applications. Strong written and verbal communication skills. Basic numerical and data-entry accuracy skills. Ability to work additional hours during seasonal peaks. Willingness to travel occasionally if required. Previous exposure to agriculture, grain operations, farming, or fertilizer-related industries is advantageous. Familiarity with accounting or financial software is beneficial.
