Job Description

The Administrative Assistant will work with the Association Board Members, homeowners, and management team on a daily basis. HOA/Condo Board experience is preferred. The successful candidate will be organized, outgoing, a self-starter and have superior customer services skills. Responsibilities include, but are not limited to, the duties defined below: Provide excellent, professional and cheerful customer service to residents Must be proficient in Word and Excel and possess excellent communication skills both electronically and when speaking with residents and vendors. Write clear and detailed work orders, service requests, and provide follow-up to homeowners Monitor and track homeowner and vendor certificates of insurance Monitor and track leases for homeowners and tenants Assist with yearly Pool Photo IDs Scheduling for bi-annual sump pump inspections and yearly pool photo IDs Keeping accurate records and data bases for certificates of insurance, leases, rebates, violations, etc. Assist the on-site Property Manager with daily operations Research and familiarize Associations' Declarations, By‐laws and Rules & Regulations. Casual work environment. Ideal Candidate A minimum of 3-5 years in administrative or community/property management experience Proficiency with MS Office, particularly Word, Excel and Outlook The ability to exercise judgment and the utmost discretion, meet deadlines and manage competing demands Strong communication skills (verbal and written) and interpersonal skills Excellent time management and organizational skills
