Job Summary We are seeking an energetic and detail-oriented Administrative Assistant / Office Secretary to join our dynamic trucking company team. In this vital role, you will serve as the first point of contact for visitors and callers, manage daily office operations, and support our administrative functions with efficiency and professionalism. Your proactive approach will help ensure smooth office workflows, excellent customer service, and effective communication across departments. This position offers an exciting opportunity to be a key player in a fast-paced logistics environment, contributing to the company's success every day. Duties Greet visitors, clients, and vendors professionally at the front desk, providing exceptional customer support and maintaining a welcoming atmosphere Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately to appropriate departments or personnel Handle incoming and outgoing correspondence, including emails, faxes, and postal mail with attention to detail and confidentiality Maintain organized filing systems—both physical and digital—ensuring quick retrieval of documents and records Perform data entry tasks using Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes Schedule appointments, manage calendars for office staff and executives, and coordinate meetings efficiently Assist with office management duties such as ordering supplies, maintaining office equipment, and ensuring a tidy workspace Proofread documents for accuracy before distribution; ensure all communication is clear, professional, and error-free Support administrative projects as needed to enhance overall office productivity Requirements Proven experience in an office environment with clerical or administrative responsibilities Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace tools (Gmail, Calendar), and QuickBooks accounting software Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Excellent phone etiquette skills; capable of managing multi-line phone systems confidently Bilingual abilities are highly desirable to assist diverse client needs Exceptional typing speed and data entry skills for accurate record-keeping Knowledge of office management procedures including filing systems and inventory control Demonstrated ability to handle confidential information discreetly and professionally Strong interpersonal skills with a friendly demeanor; capable of providing outstanding customer service Personal assistant experience or calendar management skills are a plus Ability to proofread documents thoroughly; high attention to detail required Join us in this engaging role where your organizational talents will keep our office running smoothly!
