Provide administrative support for the Assistant State's Attorney's assigned to the Child Protection Unit
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES
1. Keep weekly stats of cases, tally at the end of each month and prepare a monthly report. 2. File Petitions for Adjudication, Termination for Parental Rights, Petitions to Revoke, and various Motions and send out notices with proof of service when necessary 3. Check mail and disperse appropriately 4. Coordinate service of case participants including personal service, publication and any necessary writs for court appearances. 5. Manage discovery requests including issuing subpoenas, following up on requests, and tendering documents with a proof of service. 6. Prepare documents as directed for proceedings such as Shelter Care, Adjudication, Disposition, and Termination Proceedings 7. E-file service return documents 8. Monitor SAOAN general email 9. Organize/move closed cases 10. Organize pulp pick up/office supplies order 11. Create discovery exhibit links 12. Liaison with DCFS 13. Run Leads and Criminal Histories on case participants 14. Run court call for the week. 15. Keep track of all files in the Family Data Base 16. Answer telephones, take messages, forward electronic mail to Assistant State's Attorneys and general receptionist duties 17. Assist in supervising and training interns by assigning tasks, checking work, and ensuring the completion of projects. 18. Cross train with administrative assistant in the Juvenile Division 19. Fill in for the administrative assistant in the Juvenile Division when that employee is out of the office 20. All other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
1. Minimum of two years legal secretary experience 2. Working knowledge of legal terminologies 3. Familiarity with Word, Excel and Axon preferred 4. Time management skills, organized and capable of prioritizing 5. Strong communication skills 6. Ability to work independently and problem solve 7. Ensures confidentiality and privacy at all times 8. Treat others with courtesy and respect in all interactions 9. Is open to new ideas and changes; encourages others to do the same 10. Willingly flexes to meet changing workload demands and priorities 11. Works cooperatively with other employees to complete the work. 12. Displays punctuality in all activities such as work attendance, project deadlines, reports.
PHYSICAL DEMANDS OF THE ESSENTIAL FUNCTIONS
1. Sitting, talking, hearing and vision are required approximately 100% of the time. 2. Standing, walking, keying, and reaching are required approximately 50% of the time. 3. Lifting files, boxes, and books up to 20 lbs. required 10% of the time.
