Location:
In-Person Job Overview Health Class 4U Inc. is seeking a highly organized, dependable, detail-oriented Personal Secretary to provide direct business and personal administrative support to the Founder. This individual will assist with both company-related administrative responsibilities and personal day-to-day organizational tasks. The ideal candidate must be capable of handling a wide range of assignments, maintaining confidentiality, staying organized, and completing tasks exactly as instructed. This position requires flexibility, professionalism, discretion, and the ability to manage both business and personal responsibilities efficiently. The Personal Secretary will not operate independently or make executive decisions. Their primary responsibility is executing tasks assigned by the Director accurately and efficiently. Due to the sensitive nature of this position and access to confidential business and personal information, all candidates selected for employment must successfully complete both a national background check and local background check as a condition of employment. Business Administrative ResponsibilitiesAdministrative Support Manage calendars and scheduling Organize business emails and correspondence Draft professional emails and letters Maintain digital filing systems Create spreadsheets, reports, and business documents Organize confidential company records Perform data entry and document organization Answer calls and return messages as assigned Human Resources Support Post job openings Review applications and organize candidate information Schedule interviews Send onboarding paperwork Maintain employee and contractor records Organize orientation schedules Client & Operational Support Respond to customer inquiries Schedule consultations and appointments Follow up with prospective clients Organize client intake documents Maintain client records Track subscriptions and recurring services Assist with vendor communication Maintain internal workflow documentation Financial Administrative Support Prepare invoices Maintain payment tracking spreadsheets Organize expense records Assist with payroll preparation Maintain bookkeeping documentation Compliance Administration Organize HIPAA-related documents Maintain confidentiality agreements Maintain employee paperwork Organize legal and compliance documentation Personal Support Responsibilities Manage personal calendar and appointments Schedule personal meetings and commitments Organize travel arrangements (flights, hotels, transportation) Coordinate reservations and bookings Manage reminders for important deadlines and commitments Organize personal documents and records Assist with online purchases and order management Conduct online research for personal or business needs Handle confidential personal correspondence Manage subscriptions, memberships, and recurring payments Track important dates and upcoming obligations Coordinate personal errands when assigned Organize household-related administrative tasks Assist with document preparation for personal matters Manage appointment scheduling for healthcare, legal, or other personal services Qualifications Strong administrative experience preferred Highly organized and detail-oriented Ability to manage both personal and business matters professionally Excellent written and verbal communication Microsoft Office and Google Workspace proficiency Strong confidentiality and discretion Ability to multitask effectively Professional phone etiquette Fast learner Ability to follow instructions precisely Must successfully pass a national background check Must successfully pass a local background check Must be comfortable working in a position requiring a high level of trust and confidentiality Ideal Candidate We are seeking an individual capable of assisting the Founder with both business operations and personal administrative responsibilities. This person should be comfortable handling a broad range of assignments, switching between business and personal tasks as needed, and maintaining complete confidentiality while executing tasks exactly as assigned. Because this role involves direct access to sensitive business records, confidential personal information, scheduling authority, and administrative oversight responsibilities, only candidates who can successfully pass required background screenings will be considered for employment.
