We are seeking an Operations Administrative Assistant to support daily activities across quoting preparation, quality documentation, and general administrative functions. This is an entry-level opportunity ideal for someone early in their career, including recent high school graduates or individuals with an associate degree. This role is best suited for someone who is organized, detail-oriented, and comfortable working in a small business manufacturing environment, where responsibilities may shift throughout the day. The position primarily supports internal stakeholders across leadership, operations, quality, and compliance, with occasional interaction with customer purchasing contacts. Over time, this role may develop into opportunities in estimating or quality inspection, depending on individual performance and initiative. Key Responsibilities Answer and route incoming phone calls in a professional and courteous manner Download, organize, and maintain customer files to support quoting activities Prepare and structure data for internal use, ensuring accuracy and completeness Maintain organized digital file systems using Windows File Explorer Assist with data entry and documentation using Microsoft Excel and Word Support quality processes by entering inspection data into reports and systems Use validation equipment and software to verify Data Matrix code compliance on engraved medical devices Work within systems such as ECI JobBOSS2, Discus, and Microscan LVS-95xx (training provided) Coordinate with internal team members including leadership, quality, compliance, and operations Occasionally communicate with customer buyers regarding documentation or administrative needs Provide general administrative and operational support as needed
Skills:
Qualifications High school diploma required; associate degree preferred Prior administrative, clerical, or manufacturing-related experience is helpful but not required Proficiency in Microsoft Excel, Microsoft Word, and general computer/file management required Ability to learn new systems and software tools Strong attention to detail and accuracy Effective written and verbal communication skills Strong organization and time management skills Work Environment & Physical Requirements Fully onsite role in a small manufacturing environment Primarily desk-based with regular movement between office, QC lab, and shop floor Occasional lifting of boxes or totes (typically under 20 lbs) Interaction with inspection equipment and manufacturing personnel What We're Looking For This role is a good fit for someone who: Takes pride in being organized and detail-oriented Communicates professionally with both team members and customers Can manage multiple tasks without losing track of details Is comfortable in a hands-on environment that blends office and shop floor activity Is open to learning new tools, systems, and processes Wants to build a foundation for future growth in operations, quality, or estimating Important to Know This is not a traditional corporate office role.
