Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, providing exceptional administrative support to ensure smooth daily functions. Your energetic approach and attention to detail will help foster a productive environment, enhance communication, and support our team's success. Responsibilities Operate multi-line phone systems, directing calls efficiently and courteously. Handle data entry, filing, and document proofreading to maintain accurate records. Coordinate calendar management and schedule appointments using Google Workspace and Microsoft Office tools. Support bookkeeping tasks, including invoicing, expense tracking, and providing customers estimates on projects or requested services Provide excellent customer service by responding promptly to inquiries via phone or email Assist with office management tasks such as supply ordering, and organization of files Perform clerical duties including typing correspondence, managing emails, and scheduling for customer services Requirements Proven office experience with strong organizational skills and attention to detail Is desired Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with QuickBooks or similar bookkeeping software is preferred. Excellent phone etiquette and customer service skills; bilingual ability is a plus. Strong computer literacy, including data entry, proofreading, and document management. Ability to handle phone systems efficiently while maintaining professionalism. Prior clerical or administrative experience is highly desirable. Knowledge of office management practices and time management techniques. Personal assistant or prior clerical experience is preferred but not required.
