Job Description

Administrative Assistant - ACHS Administrative Assistant
District Programs:
Title III English for Speakers of Other Languages (ESOL) and
High School Flex Credit Terms:
Ten-month position (August-May), 30 hours per week Monday-Friday; hourly wage determined by experience and education; benefits-eligible Supervisor(s): Building Principal; Assistant Superintendent for Academic Affairs
Job Goal:
To provide comprehensive administrative and clerical support for the High School Flex Credit program and the District Title III English for Speakers of Languages program, ensuring efficient operations, accurate reporting, and effective communication with district colleagues and diverse student populations and their families. Qualifications
Education/Experience:
High school diploma or equivalent; experience with administrative tasks in an educational setting preferred
Technical Skills:
Proficient in Google Workspace, Microsoft Office (Word, Excel), and familiarity with Student Information Systems (SIS)
Communication:
Strong interpersonal skills; ability to interact positively with a variety of people, including high school students and non-English speaking families
Compliance:
Ability to maintain strict confidentiality and handle sensitive student data (FERPA)

District ESOL Program:
Collaborate with the ESOL program coordinator to
Documentation:
Maintain accurate records for English Learners (ELs).
Organization:
Manage highly organized digital and physical files, ensuring compliance with FERPA and district privacy policies.
Coordination:
Assist with scheduling student screeners/assessments and preparing materials for screenings/assessments.
Family Communication:
Assist in preparing and distributing program materials in multiple languages. Complete other tasks as assigned.
High School Flex Credit:
Collaborate with the lead and supporting teachers to Student Learning Management System (LMS): Support the online student learning platform; this includes setting up student accounts, assigning specific courses based on counselor/lead teacher recommendations, and managing enrollment status.
Progress Monitoring:
Regularly monitor student progress and reports within LMS to identify students who are falling behind or need additional support. Update district spreadsheets weekly to communicate progress with applicable teachers and administrators.
Student Support:
Provide in person and virtual support to students to assist with course completion.
Testing Oversight:
Manage the unlocking of assessments and, and as applicable, support the proctoring of unit tests and final exams.
Credit Processing:
Upon course completion, assist with verifying final grades and coordinating with the registrar/guidance counselor to ensure credits are accurately recorded on student transcripts. Complete other tasks as assigned.
