Job Description

Overview:
Atchison County Community Corrections mission is to serve Atchison County through public safety and client accountability through use of community-based supervision, evidence-based practices and interventions, while working with integrity and professionalism. We provide a wide range of effective interventions to adult and juvenile clients residing in the community to assist them in developing pro-social skills and refrain from engaging in destructive behavior. The Administrative Assistant position reports directly to the Director of Atchison County Community Corrections.
Job Descriptions:
May assist with the preparation and maintenance of departmental budget. Orders office supplies with prior approval of Director. Records and transcribes oral or machine dictation for official meetings, handles confidential or sensitive documents and correspondence; Prepares minutes of meetings. Composes and types of correspondence. Assist visitors and directs to the appropriate office or employee. Schedules and confirms appointments, meetings and travel arrangements. Operates office equipment with speed and accuracy. Assists in entering Accounts Payable invoices for the agency. Processes invoices and collects fees for charges from outside agencies. Assists in completing drug testing for outside agencies. Organize and maintain data trackers. Completes Follow-Up calls and referrals. Comply with all county wide and departmental policies and procedures. Exhibits positive attitude towards position, co-workers, supervisory personnel and members of the public. Assists other staff members as requested. Performs other duties as assigned by Director or Advisory Board personnel.

Job Requirements:
Must be twenty-one (21) years of age or older. High School Diploma or GED (Required). 2 years related work experience. Driver's License (Required). Must pass post offer physical and drug screening. Must pass Criminal Background Check. Not registered on the Kansas Child Abuse Registry. Not registered on the Kansas Adult Abuse Registry.
Accountability:
Problem solving, prioritizing, organizing and decision making are factors in this position. Must have the ability to weigh information, complete tasks in a timely manner, and maintain effective documentation.
Supervision:
Employee does not have supervisory responsibilities over subordinate personnel.
Working Conditions:
Duties are performed primarily in an office setting. Must be able to operate a telephone, computer keyboard, copy machine, and fax machine. The noise level in the work environment is usually quiet to moderate. Performs work safely in accordance with County safety program and departmental safety procedures.
Preferred Qualifications:
3 years of experience with budgets, payment systems, accounts payable and/or bookkeeping.
Education:
High school diploma or GED. A Technical degree or some college credit in accounting preferred, or an equivalent combination of training and experience.
Knowledge:
Considerable knowledge of basic office methods and procedures; spelling, punctuation, and grammar. Thorough knowledge of computer and data entry operations. Considerable knowledge of applicable departmental operations, policies, procedures and regulations and record keeping procedures. Knowledge of computerized bookkeeping systems. Knowledge of bookkeeping, budgeting, invoice pay and tracking expenses. Knowledge of organization techniques and data tracking. Experience working in at risk populations.
Skills:
Skills in typing accurately at a minimum rate of sixty (60) WPM. Skill in performance of varied administrative duties without supervision. Good knowledge of mathematics, typing, filing and general office practices and procedures. Skilled in use of Microsoft Word, Excel and Outlook. Skilled in time management and multi-tasking. Ability to establish and maintain effective professional working relationships with others. Ability to comprehend and interpret and comply with rules and regulations. Ability to prepare reports and maintain records. Ability to communicate effectively orally and in writing. Ability to maintain confidentiality. Ability to make decisions and prioritize under high stress. Ability to pass random drug/alcohol-screening tests. Valid Kansas Driver's license and ability to operate a motor vehicle.
