Job Description Purpose:
The Management Information Systems (MIS) Data Clerk will process and analyze student data, process student information and records, and assist with the efficient operations of student record keeping across the district utilizing district and state student online information systems. In addition, the MIS Clerk is responsible for accurate and timely entry of all special education MIS data to the Kansas State Department of Education (KSDE) for final review and submission by district administrators.

$16.00 to $20.00 per hour
Required Qualifications:
High school diploma or equivalent required; some college coursework or vocational education preferred. Strong verbal and written communication skills. Proficiency with Microsoft Office applications (particularly Excel) and Google Workspace. Knowledge of office procedures and operation of common office equipment. Ability to maintain clerical records and prepare reports from those records. Demonstrated ability to perform multiple complex and technical tasks while adapting to changing job requirements. Ability to interact tactfully and professionally with parents, students, staff, administrators, and service providers, with an understanding of the needs of students receiving special education services. Proficient in business English, spelling, basic mathematics, and proofreading. Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously. Possess a valid Kansas driver's license. High level of competence with software, systems, and all applicable devices Willingness to learn new skills and systems, federal and state reports, and related areas Health and Inoculation Certificate on file in the District Office (after an employment offer is made)
Preferred Qualifications:
Three (3) years of experience in a secretarial, administrative assistant, educational, or business office setting. Associates or Bachelor's degree or higher from an accredited institution in education, business administration or communications Knowledge of the business management software for schools
Essential Functions:

Compile, maintain, and distribute accurate records and reports as required. Respond to requests for information in a courteous, cooperative, and timely manner. Adapt to changing priorities and perform other duties as assigned. Support the mission, vision, and goals of USD 409. Performs such other related duties as assigned by district administration. General Responsibilities:
Special Education Data Management and Reporting Maintain the district's Management Information System (MIS) and SPEDPro database in accordance with Kansas State Department of Education (KSDE) requirements. Ensure accurate and timely submission of special education data, meeting all KSDE reporting deadlines and compliance requirements, including the KIAS Timely and Accurate Data Indicator. Import, export, validate, reconcile, and correct data within SPEDPro and related reporting systems. Prepare, maintain, and submit required KSDE reports, including the Categorical Aid Personnel System (PCA) report and other state-required submissions. Assist the Assistant Superintendent or designee with the submission and verification of State Performance Plan/Annual Performance Report (SPP/APR) indicators and related reporting requirements. Prepare data and documentation for KSDE Special Education, District Fiscal, Medicaid, and other required audits. WebKIDSS and IEP System Administration Serve as system administrator for the district's IEP management system, including annual setup, maintenance, updates, and user support. Maintain student records and facilitate data transfers between district systems and state reporting platforms. Coordinate system integrations and directory synchronization with district staff. Generate reports and provide data analysis for administrators and staff as requested. Student Records Management Maintain and process special education records, student files, incoming and outgoing documentation, and transfer records in accordance with district, state, and federal requirements. Obtain records for students transferring into the district and process records for students exiting the district. Monitor and track outstanding records and documentation to ensure compliance and accuracy. Maintain organized and accurate electronic and physical files. Early Childhood and Transition Services Provide support and guidance to Early Childhood and Infant-Toddler staff regarding required data collection and reporting. Assist administration with verification and submission of Early Childhood Outcomes data. Serve as the primary district contact for the CBER IT Database and the tracking of students transitioning from Infant-Toddler Services into the Part B evaluation process. Stakeholder Support and Communication Provide technical assistance and support to staff regarding MIS, SPEDPro, WebKIDSS, and related special education reporting systems. Respond to MIS-related questions and concerns from internal and external stakeholders. Direct stakeholders to the appropriate district personnel when additional assistance is required. Provide staff and administrators with student demographic, enrollment, caseload, and reporting information as requested. Support private and parochial schools with KIDS and special education reporting requirements. Professional Development Attend all required
KSDE, MIS, IEP
software and other professional development training necessary to maintain compliance and support district reporting requirements.

Terms of Employment:
At will employment. 12-month 2,080-hour position.
