Job Description:
Supports department reception, maintains appointment calendars, arranges meeting rooms and catering, and coordinates basic events. Assists management with coordination and oversight of department functions, including various campaigns, holiday, and employee events. Oversees department equipment and office supplies, ensuring adequate supplies are maintained and equipment is serviced as required. Maintains department files, databases, and records, including employee records such as time and attendance, payroll matters, and education. Creates, compiles, and maintains various department reports, forms, spreadsheets, and documents, and assists with budgetary coordination and oversight. Updates and files department policies and procedures, and may recommend updates and assist with policy and procedure creation. Supports department with secretarial functions including correspondence; PowerPoint presentations; and meeting agendas, minutes, and distribution. Assists with the update and maintenance of the department website and/or Intranet site. Performs department Information Services coordinator functions including requesting and modifying computer access, assisting with equipment needs, and basic training and troubleshooting of department applications. Attends meetings as requested and may serve on various committees. Assists with or is responsible for department training functions. Other duties as assigned.
Knowledge, Skills, and Abilities:

  • Proficient in computer applications such as Microsoft Word, Excel, PowerPoint, and Outlook. [Required]
  • General clerical skills including knowledge of general office and communication equipment. [Required]
  • Knowledge of medical practices, terminology, and reimbursement policies. [Required]
  • Excellent customer service, oral, and written communication skills. [Required]
  • Ability to deal effectively with employees, patients, medical, and administrative staff professionally. [Required]
  • Ability to handle a multitude of tasks simultaneously in a fast-paced working environment. [Required]
