Job Description

The Administrative Assistant supports the daily operations of a fast-paced student housing leasing office. This position is responsible for assisting with leasing administration, resident communications, document management, customer service, application processing, and office organization. The ideal candidate is professional, detail-oriented, organized, and capable of multitasking in a high-volume student housing environment. This role works closely with all departments to ensure smooth office operations and exceptional resident experiences. Overview We are seeking a motivated and detail-oriented Leasing Agent to join our dynamic team. The ideal candidate will be responsible for facilitating the leasing process of residential properties, ensuring a positive experience for potential tenants while adhering to Fair Housing regulations. This role requires strong customer service skills, the ability to negotiate effectively, and a solid understanding of property leasing practices. Duties Administrative & Office Support Answer office phones, emails, and resident inquiries professionally Greet residents, prospects, parents, vendors, and guests Maintain organized resident files and digital records Process incoming and outgoing mail and packages Assist with office opening and closing procedures Maintain office cleanliness, organization, and supply inventory Prepare notices, letters, and resident communications Assist with leasing applications, renewals, and lease documentation Verify required documents and enter information into AppFolio Schedule and assist with property tours Follow up with prospects and applicants Assist with roommate matching and placement coordination Maintain accurate guest cards, notes, and follow-up records Support move-in and move-out processes Help coordinate resident events and community engagement activities Assist with rent collection and resident account questions Process basic administrative reports and spreadsheets Support work order communication between residents and maintenance Monitor and document office traffic and leasing activity Assist management with special projects and operational tasks Maintain confidentiality of resident and company information Follow Fair Housing laws and company policies Maintain professional communication at all times Use Microsoft Teams and company systems for business communication Represent the property professionally both in person and online Sort and deliver mail Qualifications High school diploma or equivalent required Previous office, customer service, or leasing experience preferred Student housing or property management experience preferred Strong organizational and multitasking skills Professional verbal and written communication skills Ability to work in a fast-paced environment Basic knowledge of Microsoft Office and email systems Experience with AppFolio or property management software preferred Ability to maintain professionalism during high-volume periods Schedule options Regular winter hours - Monday - Friday. 8:45am-5:15pm (30 minute lunch) Spring and Summer. Every other Saturday during busy spring/summer Mandatory Turn dates over the summer 40 hours PTO annually and 11 Paid Holidays (Martin Luther King, Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veteran's Day, Thanksgiving Day, Day After Thanksgiving, Christmas Eve, Christmas Day, New Year's Day) Join us as we strive to provide exceptional living experiences for our tenants while fostering a collaborative work environment for our employees!
