The Role We are looking for an outgoing, reliable, and organized Front Office Coordinator to be the welcoming face and voice of our company. In this role, you will handle a wide range of administrative duties, from greeting customers and handling shipments to assisting with basic accounting entries and scheduling. You will be the ultimate team player, working closely with our Service Coordinator and supporting the business owner to keep our daily operations running smoothly.
Key Responsibilities The First Impression:
Greet walk-in customers and visitors with a warm, professional welcome.
Communication Hub:
Answer incoming phone calls, assist customers with their service needs, or route them to the correct team member.
Logistics & Inventory Support:
Order parts, receive incoming packages, and manage outbound shipments via UPS and FedEx.
Scheduling Assistance :
Partner with our Service Coordinator to assist with residential service scheduling.
Data & Administrative Management:
Transfer data from completed and pending work orders to internal tracking documents and customer records.
Light Bookkeeping:
Assist with basic Accounts Payable (AP) data entry.
Executive Support:
Provide secretarial and administrative assistance to the owner as needed. Requirements The ability to pivot between different tasks (like shifting from data entry to helping a customer) without losing your place. Excellent communication skills, especially when acting as a liaison between technicians and customers. A positive, friendly demeanor—both on the phone and in person. Accuracy in data entry and tracking documentation is a must. Good basic computer skills; comfortable learning internal systems and document management. Someone who genuinely enjoys helping out where needed in a small-office setting.
Compensation & Benefits Pay:
$17.00 - $22.00 per hour (dependent on experience).
Health Insurance:
Stipend provided on each paycheck.
Insurance:
Supplemental insurance fully paid by the company.
Retirement:
Retirement benefit plan with company matching available after one year.
Time Off:
Paid holidays, plus vacation and sick leave available after a probationary period.
