Coastal Process is looking for a highly organized and detail-oriented Service Department Administrator to support daily service operations. This role involves quoting customers, processing service orders, coordinating shop repair jobs, billing, closing out service orders, and assisting the service manager. The ideal candidate thrives in a fast-paced environment and has strong administrative and customer service skills.
Responsibilities:
- Prepare and provide accurate service quotes to customers
- Coordinate and schedule service in-house jobs
- Enter and track technician service hours and job details
- Generate invoices and bill customers in a timely manner
- Maintain accurate service records, work orders, and equipment files
- Communicate with customers regarding service updates, timelines, and follow-ups
- Support service technicians with administrative needs and documentation
- Monitor inventory levels and assist with ordering parts and supplies
- Handle incoming calls, emails, and inquiries related to service requests
Qualifications:
- Excellent verbal and written communication skills
- Previous administrative or customer service experience (service industry a plus)
- Ability to multi-task, prioritize work, and work well with others
- Strong organizational and multitasking abilities
Preferred Skills:
Experience in service, maintenance, or repair environments Familiarity with Microsoft Office, Adobe Acrobat, and QuickBooks Basic understanding of invoicing and bookkeeping processes
