JOB TITLE
Secretary for Family Court
SUPERVISION
Works under the direction of the Administrative Assistant
ESSENTIAL DUTIES AND RESPONSIBILITIES
include, but are not limited to the following:
  • Answers phones and questions and/or direct calling party to correct department
  • Data Entry - Process ImageFlo documents from the clerk's office. This data entry schedules the Hearing Officer Conferences
  • Maintains Hearing Officer's calendars
  • Gives available dates to attorneys' office staff to reset matters
  • Log in HOC submissions
  • Prepare Drug Testing Orders as requested by Hearing Officers
  • Direct persons who come to our office window to the proper location for their hearing
  • Confirm HOC appointments by phone as needed for the next week
  • Scan recommendations to the proper file on the computer
  • Prepare reset notices as needed
  • Make copies of recommendations and give or mail to attorneys, their clients, and self-represented litigants
  • Filing as needed
  • Communicate with Bailiffs regarding HOC as needed
  • Assist with getting the Payors designation forms signed (when needed)
  • Assist DA staff in completing HOC Recommendations for non-support (when needed)
  • Get mail from the court receptionist
  • Complete weekly reports and route to family court judges and all hearing officers
  • Maintain a list of outstanding reports for each hearing officer
  • Other duties as needed
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES
  • Ability to communicate effectively in writing and orally.
  • Ability to form and maintain effective working relationships with judges and general public.
  • Proficient in the usage of computers and related technology.
EDUCATION/EXPERIENCE
High school graduate or equivalent required. Previous clerical experience preferred.
MISCELLANEOUS
This is a full-time position that will work hours are 8:30 a.m. to 4:30 p.m.; Monday - Friday with the Fifteenth JDC Family Court. The Court is an equal-opportunity employer.
