Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed. Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software. Organize and file documents systematically, ensuring easy retrieval and compliance with company policies. Assist with calendar management and scheduling appointments for staff, including personal assistant tasks when required. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking. Provide excellent customer service by addressing inquiries promptly and professionally, supporting both internal teams and external clients. Skills Proven experience with office management, clerical tasks, and administrative support in a fast-paced environment. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Bilingual abilities are highly desirable to serve diverse client needs better. Knowledge of front desk procedures, multi-line phone systems, and phone etiquette is essential. Experience in medical or dental receptionist roles is a plus, along with personal assistant or bookkeeping experience. Attention to detail for proofreading documents and maintaining accurate records is critical for success in this role.
