Job Description

Office Administrative Assistant - Property Management Position Summary We are seeking a professional, organized, and customer-focused Office Administrative Assistant to join our property management team. This position serves as the first point of contact for residents, owners, vendors, and visitors while providing administrative support to ensure the smooth daily operation of the office. The ideal candidate will possess excellent communication skills, strong organizational abilities, and the ability to manage multiple tasks in a fast-paced environment. Responsibilities Answer and direct incoming phone calls in a professional and courteous manner. Greet residents, owners, vendors, and visitors while providing exceptional customer service. Assist residents and owners with questions, concerns, and general inquiries. Maintain organized filing systems and accurate recordkeeping. Process, track, and follow up on maintenance work orders. Enter and update information within property management software systems. Prepare correspondence, notices, reports, and other administrative documents. Maintain resident, owner, vendor, and property records. Assist with scheduling appointments, meetings, and vendor services. Support office operations by ordering supplies and maintaining inventory. Coordinate and communicate effectively with maintenance staff and management. Assist with resident relations and conflict resolution in a professional manner. Ensure confidentiality of resident, owner, and company information. Perform data entry and maintain accurate electronic records. Assist with special projects and additional administrative duties as assigned. Qualifications High school diploma or equivalent required. Previous administrative, office assistant, customer service, or property management experience preferred. Experience with property management software is a plus. Proficient in Microsoft Office Suite (Word, Excel, Outlook, and basic computer applications). Excellent verbal and written communication skills. Strong organizational and time management skills. Ability to multitask and prioritize responsibilities effectively. Professional appearance and demeanor. Strong attention to detail and accuracy. Ability to work independently and as part of a team. Dependable, punctual, and able to maintain confidentiality. Preferred Skills Experience handling resident and vendor communications. Knowledge of office procedures and administrative best practices. Ability to manage multiple deadlines in a fast-paced environment. Problem-solving and conflict-resolution skills. Familiarity with accounts receivable, invoicing, or basic bookkeeping is a plus.
