Job Description

Overview We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining an efficient work environment. The ideal candidate will possess strong clerical skills, excellent customer service abilities, and proficiency with various office management tools. Duties Manage front desk operations, greeting visitors and directing inquiries with professionalism and courtesy. Operate multi-line phone systems, screen calls, and provide accurate information or route messages efficiently. Perform data entry and maintain detailed filing systems to ensure easy retrieval of documents. Utilize Microsoft Office Suite and Google Workspace applications for document creation, editing, and collaboration. Handle calendar management, scheduling appointments, meetings, and coordinating events as needed. Support bookkeeping tasks using QuickBooks or similar software, including invoicing and expense tracking. Provide customer support through effective communication, addressing questions promptly and courteously. Assist with proofreading documents to ensure accuracy and clarity before distribution. Maintain office supplies inventory, order necessary items, and oversee general office management duties. Support personal assistant tasks such as travel arrangements or confidential correspondence when required. Skills Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools. Excellent phone etiquette and ability to manage multi-line phone systems effectively. Bilingual in Vietnamese abilities are highly desirable to serve diverse clientele. Strong typing skills with attention to detail for accurate data entry and proofreading. Knowledge of office management procedures, including filing systems and calendar coordination. Effective time management skills to prioritize tasks efficiently in a fast-paced environment. Experience in customer service roles with a focus on professional communication. Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows.
