Job Description

Bilingual Administrative Assistant Program/Grant Category:

Program Manager and Director of Community Resources Work Schedule:
37.5 hours per week, occasional evenings and weekends
Classification:
Full-time, Non-exempt, Hourly Summary:
Assists with the day-to-day operations of the Family Resource Center and Community Connections of Brockton. Create a welcoming and positive environment as the first contact most clients and visitors have with The Family Center. Ensures program data is accurately entered on a timely basis into the required systems to ensure compliance with contractual expectations.
General Duties and Responsibilities:
Provide administrative and program support to the Family Resource Center (FRC) team. Collaborate with Family Support Workers to maintain the FRC calendar and coordinate programs, meetings, and community events. Conduct initial intake or informal screening of families and provide information, referrals, and community resources. Greet and assist visitors, clients, staff, and interns, directing individuals to appropriate staff or services. Answer and route incoming phone calls, take accurate messages, and respond to general inquiries. Perform general office duties including typing, filing, copying, scanning, and maintaining organized records including attendance rosters. Manage incoming and outgoing mail, messages, and documentation. Schedule and coordinate meetings, reserve rooms, send reminders, and prepare meeting spaces and materials. Assist with event planning and coordination for programs and activities held at the center and in the community. Maintain office supplies inventory, process approved supply orders, and coordinate food orders for meetings and events. Support administrative processes including data entry, database updates, recordkeeping, and preparation of reports or correspondence. Assist with financial and administrative documentation including receipts, invoices, check requests, and donation tracking, support overall daily operations of the Family Resource Center.

Strong oral and written communication skills. Demonstrate excellent customer service Team player who can work independently and as a supportive member of the UWGPC team Knowledge of local community resources, community providers and human service agencies Community member who values and practices cultural humility Positive, non-judgmental attitude and good listening skills; easy to talk to/with Ability to work with and be sensitive to people from diverse backgrounds Ability to solve problems and access resources for families and youth in a complex and fast paced environment Ability to manage multiple projects. Strong computer skills and data tracking capabilities (Microsoft Office) Bi-Lingual skills required. Haitian Creole, Cape Verdean Creole, Portuguese and/or Spanish highly desired
Requirements:
A high school diploma or equivalent. Candidates with or working towards an Associate's Degree or those with lived experience who demonstrate desired skills and abilities for this position preferred Experience in human services environment desired. Some evening and weekend events are required Valid driver's license Access to a vehicle
Valid CORI Physical Demands:
Able to lift up to 30 lbs. Moving tables or chairs to set up for presentations or activities. Carrying boxes of supplies or fliers for programs. Pay:
$21.00 - $22.00 per hour
