Our mission. Northeast Recovery is a network of Drug and Alcohol Addiction Treatment Facilities. We provide multiple levels of care to those who are prepared to start their journey to recovery. We are looking for a full time Admin Assistant/Front Desk Support to join our team at Bedrock Recovery Center in Canton, MA.

$18-$21 per hour (depending on experience) Position Summary The Administrative Assistant / Front Desk Support position provides administrative and operational support to the facility while managing the day-to-day coordination of the front desk. This role is stationed at the front desk and serves as the primary point of contact for clients, visitors, employees, and external partners. In addition to reception responsibilities, this position supports administrative operations by assisting with document coordination, mail distribution, supply tracking, and internal communication across departments. The role helps ensure smooth facility operations by supporting administrative processes, routing operational requests, and assisting departments with routine coordination needs. The ideal candidate is highly organized, professional, and capable of managing multiple responsibilities while maintaining a welcoming and efficient front desk environment within a fast-paced healthcare setting. Key Responsibilities Serve as the primary point of contact for clients, visitors, employees, vendors, and external partners by managing the front desk in a professional and welcoming manner. Monitor the reception and lobby area to ensure visitors and clients are assisted promptly and that appropriate staff are notified when needed. Answer and appropriately route incoming phone calls to departments while maintaining professionalism and confidentiality. Announce admission arrivals to Behavioral Health Technicians and Nursing staff to support timely intake coordination. Assist with coordinating communication between visitors, admissions staff, and internal departments when individuals arrive onsite. Provide administrative support to leadership and facility departments through document preparation, copying, scanning, filing, and distribution. Assist with organizing administrative documentation and maintaining records in accordance with facility standards and compliance requirements. Assist with coordinating routine operational requests received at the front desk by documenting the request, directing it to the appropriate department, and helping ensure follow-up when needed. Maintain a daily administrative communication log for the front desk to document operational updates, vendor arrivals, deliveries, and facility requests. Support leadership and departments by organizing administrative materials for meetings, trainings, or internal communications. Process and distribute incoming and outgoing mail and packages for the facility. Log and label patient mail or deliveries with room numbers to ensure accurate distribution. Notify staff when personal mail or packages arrive so they may retrieve them promptly. Monitor inventory levels of office and hygiene supplies and assist with coordinating supply orders as needed. Stock and maintain the admissions room with necessary materials to support Behavioral Health Technicians and newly admitted clients. Assist with coordinating vendor arrivals, deliveries, and facility service visits by notifying the appropriate department and directing vendors to the correct contact within the facility. Compliance & Confidentiality Maintain strict confidentiality of patient information in accordance with HIPAA regulations and facility policies. Do not disclose patient information over the phone unless a valid Release of Information is documented. Required Qualifications High school diploma or equivalent required. 1-2 years of experience in an administrative assistant, office coordinator, or front desk administrative role. Strong organizational and multitasking skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Outlook, Word, Excel). Ability to maintain professionalism and confidentiality in a healthcare environment. Preferred Qualifications Experience working in a healthcare, behavioral health, or residential treatment environment. Familiarity with HIPAA regulations and confidentiality standards. Experience supporting administrative operations in a fast-paced environment. Bilingual language skills preferred
