Danvers Public seeking a Administrative Assistant II This position reports to the
Building Principal Position Type:
Full-Time, School-Year Job Overview The administrative assistant will act as a primary administrative resource in support of theprincipal, assistant principals, or department head. The administrative assistant will work with theentire office staff to develop and maintain efficient office management workflows and procedures,to ensure that the school or departments daily and long-term administrative requirements aremet. The job of the administrative assistant is to support students, parents, teachers, and thepublic as they interface with principals and department heads. Creating a friendly, welcoming, andefficient environment is critical. Responsibilities and Duties Provide administrative support to principal, assistant principals and department heads as assigned,including, but not limited to:
Primary:
Maintain and updating the school or department web site Process student discipline management Maintains student and staff attendance Record expenses for budget purposes Process invoices, employee reimbursements, etc Process incoming and outgoing mail Book buses for field trips Assist with DESE reports as appropriate Manage administrators and building calendars, including scheduling meetings, appointments, and rooms, and notifying all parties involved Assist parents and/or students with questions about how to navigate their needs within the school or school system
Secondary:
Handle telephone calls and correspondence Part of the Incident Management Team Maintain and update administrative records and reports for students, teachers, staff and administrators Assist with awards certificates and end of year activities Work with substitute provider(s) to schedule substitutes for teachers and aides Other duties as assigned by the principal or department head Hours of Work Hours of work to be in accordance with Article 7, sections 7-01 and 7-02 and at the discretion of the principal and superintendent as outlined in section 7-07. Working conditions Fast paced, interactive environment with a high quantity of daily interactions with teachers, students, parents, community members, and school administrators. Physical requirements Ability to lift boxes of supplies and equipment.
