POSITION DESCRIPTION
Confidential Administrative Assistant to the Director of Pupil Personnel The Confidential Administrative Assistant provides high-level administrative support to the Director of Pupil Personnel. This role is critical to ensuring the smooth operation of the office, maintaining confidential student records, and supporting compliance with state and federal regulations related to special education and student services. The ideal candidate is highly organized, detail-oriented, and able to manage sensitive information with discretion.
QUALIFICATIONS
1.Proficiency in Microsoft Office and general computer applications 2.Strong organizational, data management, and record-keeping skills 3.Ability to manage highly confidential information with professionalism and discretion 4.Excellent communication and interpersonal skills, with the ability to work effectively with staff, students, families, and the public 5.Ability to manage multiple priorities and meet deadlines in a fast-paced environment 6.Experience with state reporting systems (e.g., DESE) preferred 7.Familiarity with School-Based Medicaid programs and special education processes preferred
MAJOR RESPONSIBILITIES
1.Serve as the primary point of contact for the office, managing calls and directing inquiries appropriately 2.Coordinate schedules, meetings, and communications for the Director of Pupil Personnel 3.Prepares agendas, documents, and reports to support office operations 4.Maintain accurate and confidential student records in compliance with legal requirements 5.Complete data entry and prepare required state and federal reports 6.Track timelines for Individualized Education Programs (IEPs) and three-year re-evaluations 7.Collaborate with school psychologists, special education staff, nurses, and contracted service providers to ensure timely services 8.Assist in coordinating and scheduling special education and related services 9.Process purchase orders and requisitions using district systems 10.Maintain knowledge of office procedures and regulatory requirements 11.Perform other duties as assigned by the Director of Pupil Personnel or Administration
SALARY AND WORKING CONDITIONS
$60,000 - $67,000 12-month position 7:30 am - 3:00 pm
