Jobs › Lowell, MA › Administrative Assistant City of Lowell - MassHire Career Center Administrative Assistant Lowell, MA Apply SUMMARY Highly organized and detail-oriented individual who assists management with the day-to-day operations of a busy one-stop Career Center. Perform a high volume of data entry on a daily basis. Answer phones, document interactions into the database. Schedule advisor appointments, cover reception, schedule, and record workshop attendance. Assist customers complete required tasks for unemployment benefits. Input the daily workshop attendance into database. Proficient in Microsoft and teams? applications. Other duties as needed.
ESSENTIAL
DUTIES andRESPONSIBILITIES
Communicate daily with management to determine needed tasks to be completed for day-to-day operations. Cover and monitor reception and resource room when scheduled and as needed. Data entry customer services, interactions, and activities into the database in a timely manner. Retrieve and input the customer\'s on-line workshop registrations into database. Check for prerequisites and send out e-mail confirmations using Microsoft Outlook. Perform exceptional customer service when interacting with Career Center customers. Schedule and/or cancel customer appointments with staff. Send out confirmation e-mails for eligibility documents and appt details. Record attendance of daily on-demand webinars. Perform on-going administrative functions to support the Career Center Management team. Answer and forward calls on a busy telephone system. Answer all customer inquiries regarding Career Center services and Training services document into database. Complete reemployment services and eligibility reviews for customers receiving unemployment benefits. Maintain an organized filing system for all customer paperwork and records. Maintain a tracking system for customers who are in varying stages in meeting with a Career Advisor. Cover reception with greeting and directing customers upon entering the Career Center as needed. Utilize Microsoft Office Suite software, for example Word, Excel and PowerPoint as needed. Other duties as assigned.OTHER SKILLS & ABILITIES
Strong Microsoft office software skills. Excellent customer services and communication skills. Strong organization and multi-tasking skills a must. Ability to develop and maintain effective working relationships with others. Ability to plan, schedule and execute assigned tasks in a timely efficient manner. Ability to understand and be sensitive to the needs of the economically disadvantaged adults, youth and/or dislocated workers. EDUCATION and/orEXPERIENCE
High school diploma or general education degree (GED)/HiSet with minimum three (3) years experience working with databases and phone systems, as well as a strong customer service background.
