POSITION SUMMARY
Working in the Control Center under the supervision of the Control Center Supervisor, the Principal Clerk receives routine and emergency maintenance service requests, dispatches requests for completion, and performs administrative and clerical work for the Control Center and Maintenance Department.
ESSENTIAL FUNCTIONS
Answers phones and receives visitors, residents, and outside service representative inquiries and requests. Transcribes and records requests for service. Determines priority level of requests and staff assignments based on established guidelines. Responds to inquiries and disseminates information regarding maintenance work and programs. Compiles, updates, and maintains department data through various spreadsheets, logs, files, reports and records, including attendance, overtime, vacancy status, and work order production. Contacts residents regarding unsatisfactory customer service survey responses. Maintains inventory of office supplies. Updates and distributes the Maintenance Duty Roster on a weekly basis. Collects and tracks weekly gas receipts for all WHA vehicles. Organizes and maintains department files. Creates vacate work orders, issues to staff, and tracks progress of work. Schedules all pest exterminations via Excel and Outlook calendar. Processes all appliance discards, issuances, and transfers, including scheduling Freon removal for all discarded appliances and creating the monthly board report for all discarded appliances. Tracks and maintains a daily and weekly key inventory of all keys in the Control Center. Assists the Trades Supervisor in routing all urgent Trades requests to appropriate staff. Performs general clerical support duties. Assists the Control Center Supervisor with special projects, as needed. Performs similar job-related duties as assigned.
QUALIFICATIONS
High school diploma or equivalent required; college degree preferred. Minimum of three (3) years' experience working in an office environment. Strong interpersonal communication and writing skills. High level of integrity; ability to maintain confidentiality. Attention to detail; ability to multi-task while staying organized. Adept at using Microsoft Office products, specifically Excel, Word, and Outlook, and ability to quickly learn computer software programs. Ability to type quickly and accurately, and to use office equipment such as phones, fax machines, copiers, and scanners. Excellent English vocabulary and grammar skills; bilingual candidates (English/Spanish) preferred. Competent with basic mathematical functions including addition, subtraction, multiplication, division and the calculation of percentages. Pleasant and calm demeanor, superior customer service skills. Ability to work effectively and independently in a fast-paced work environment with frequent interruptions. Ability to work cooperatively and pleasantly with a diverse population. Positive attitude and willingness to learn, be accountable, and strive for success. Ability to be relied upon to be available for work.
