Job Description
Job Summary:
Supports the administrative functions of the County Commissioners, County Administrator, and Clerk. The position maintains a strong public contact focus, connecting constituents with County information and communication. Essential Functions Functions listed are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related or a logical assignment to the position. Acts as liaison between the Commissioners' Office, all other County departments, businesses, and other service agencies. Assist with the coordination of functions relative to annual legislative session. Assist with State mandated reporting. Assists with the preparation of Commissioners' Office; prepare Commissioners Office' and payments and track expenditures. Maintain State and County legal reference libraries, Annotated Code and Code of Public Laws. Maintain County webpage relative to Commissioners' Meeting schedule and work sessions. Coordinate events on Commissioners' behalf. Provides administrative support to Clerk and assists with all clerk duties. Assists with agenda preparation and drafting required documentation. Process payments for Commissioners' Office. Processor for raffle permits and other citizen requests. Coordinate Commissioners and County Administrator travel arrangements for conferences. Routinely provide administrative support to Commissioners, County Administrator, and Clerk. Approver privileges relative to raffle permits and per diem licenses. Performs other duties as required.Supervision:
The position reports to the Clerk of the County Commissioner's Office. The position has no supervisory responsibilities. Required Knowledge, Skills, and Abilities The employee is expected to perform or possess the following:Communications Skills:
Ability to build and maintain effective relationships with County Administrator and Commissioners, advisory board members, County staff in all departments, residents and community groups, businesses and service organizations. Ability to write clearly and informatively; ability to effectively present information and respond to questions from staff, supervisors and stakeholders.Customer Service:
Represents the County professionally and effectively in both internal and external interactions. Manages difficult or challenging situations successfully. Ability to use Internet, e-mail, spreadsheet, and office software. General knowledge of PC and office equipment.Education and Experience:
High School Diploma, and one to three years of office/administrative experience. Or equivalent technical training, education or experience. Valid driver's license and an acceptable motor vehicle record. Open Meetings Act/Ethics Training certification must possess or obtain within 60 days of hire. Notary Public required. General knowledge of standard procedures and office software, specific experience and use of Adobe acrobat and web-based programming is preferred.Physical and Environmental Conditions:
Work is conducted in a normal office setting which provides comfortable lighting, temperature and air conditions. Occasional light lifting, such as three to four reams of paper, four or five books, or other materials (up to 35 pounds) may be required. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices or meeting rooms, e.g. use of safe workplace practices with office equipment, and/or avoidance of trips and falls and observance of fire regulations.
