Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. The ideal candidate is proactive, tech-savvy, bilingual (preferred), and excels in multitasking with a positive attitude. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle incoming calls, and route inquiries efficiently Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Perform data entry, proofread documents, and ensure accuracy in all clerical tasks such as filing and record keeping Coordinate calendar management for executives or team members, scheduling appointments and meetings with precision Support office management tasks including supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks Provide excellent customer service by addressing inquiries promptly and supporting client needs both in person and via phone or email Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Experience with office management tasks such as calendar coordination, data entry, filing, and basic bookkeeping (QuickBooks preferred) Strong computer literacy skills along with excellent typing speed for efficient data entry Customer service background or experience as a receptionist or personal assistant is advantageous
