Job Description

Administrative Assistant Overview
  • Provide comprehensive administrative support to senior leadership, ensuring seamless operations and fostering a collaborative workplace environment.
  • Coordinate schedules, meetings, and events, ensuring efficient time management and logistical excellence.
  • Prepare detailed reports, presentations, and communication materials to support strategic initiatives and organizational goals.
  • Manage budgets, process financial transactions, and ensure compliance with organizational policies and procedures.
  • Maintain organized records and tracking systems to facilitate efficient information retrieval and documentation.
  • Serve as a liaison for employees, students, and external partners, promoting inclusivity and effective communication.
  • Support the implementation of engagement initiatives, contributing to a positive and dynamic campus community.
Key Responsibilities & Duties
  • Welcome and assist visitors, manage incoming communications, and ensure confidentiality in all interactions.
  • Monitor office communications and provide timely responses to inquiries, ensuring clarity and professionalism.
  • Assist in planning and executing office initiatives, ensuring alignment with organizational priorities.
  • Develop and distribute communication materials, including agendas, briefings, and presentations.
  • Maintain calendars, documentation, and project tracking tools to enhance operational efficiency.
  • Coordinate logistics for events and activities, ensuring accessibility and technological readiness.
  • Manage financial processes, including purchasing, invoicing, and expense reporting, adhering to policies.
  • Collaborate with colleagues to optimize workflows and enhance team productivity.
Job Requirements
  • High School Diploma or GED required; additional certifications in administrative support are beneficial.
  • Minimum of two years of administrative experience; five years preferred for advanced expertise.
  • Proficiency in Microsoft Office Suite and enterprise financial systems such as PeopleSoft.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment in decision-making.
  • Experience supporting senior leadership and managing budgets with precision.
  • Excellent interpersonal skills and cultural responsiveness in diverse environments.
  • Ability to work independently while fostering collaboration within a team setting.
