Job Description

Job Summary We are seeking a dynamic and organized Office Assistant to join our team! This energetic role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will support administrative functions, manage front desk responsibilities, and provide exceptional customer service to visitors and team members alike. Your enthusiasm and organizational prowess will help foster a welcoming and efficient workplace where everyone can thrive. Duties Greet visitors warmly, answer multi-line phone systems, and direct calls with professional phone etiquette. Manage front desk operations, including scheduling appointments, handling mail, and maintaining visitor logs. Perform data entry tasks using computer skills such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes. Organize files, maintain office supplies inventory, and ensure the workspace remains tidy and functional. Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients. Support office management tasks such as proofreading documents, managing correspondence, and supporting administrative projects. Provide customer support by addressing inquiries promptly and professionally while maintaining excellent customer service standards. Experience with mental health billing is a plus Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Strong organizational skills with the ability to prioritize tasks effectively. Excellent communication skills with a focus on phone etiquette and customer service. Experience with multi-line phone systems and office management software such as QuickBooks. Bilingual abilities are a plus to serve diverse client needs effectively. Demonstrated clerical experience including filing, data entry, proofreading, and document management. Knowledge of medical or dental receptionist duties is advantageous but not required; personal assistant experience is a bonus. Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail. Pay:
$20.00 - $22.00 per hour
