$39,000.00 - $45,000.00 per year Job description: The Administrative Assistant provides essential organizational support to ensure efficient day-to-day office operations. This role involves managing administrative tasks, coordinating schedules, handling communication, and supporting staff to maintain a productive and well-organized work environment. Key Responsibilities Manage daily office operations and ensure smooth workflow Maintain office supplies inventory and place orders when necessary Organize and maintain filing systems (physical and electronic) Communication & Coordination Answer and direct phone calls, emails, and correspondence Serve as the first point of contact for visitors and clients Schedule meetings, appointments, and conference calls Coordinate internal and external communications Service Notes & Record Management Prepare reports, memos, letters, and presentations Maintain accurate records and databases Handle confidential information with discretion Assist with weekly review of Staff notes for completion and ensure missing notes are completed prior to claims billing. Calendar & Travel Management Manage executives' or team calendars Arrange travel logistics (flights, accommodation, transportation) Prepare itineraries and meeting materials Meeting Support Organize meeting logistics including venue, agenda, and materials Take meeting minutes and distribute action items Follow up on assigned tasks and deadlines General Administrative Support Help plan and execute program events Assist with basic accounting or expense tracking tasks Support Programs, HR or other departments with administrative needs Perform other office-related duties as assigned Qualifications & Experience High school diploma or equivalent (associate or bachelor's degree preferred) 1-3 years of administrative or office support experience Familiarity with office procedures and basic accounting principles is a plus Strong organizational and multitasking skills, excellent verbal and written communication Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) Attention to detail and problem-solving abilities, prioritize tasks and meet deadlines
Pay:
$39,000.00 - $45,000.00 per year
