Position Summary:
The High School Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the school office. This role serves as a key point of contact for students, staff, families, and the public, maintaining a professional, welcoming, and organized environment.
Essential Duties and Responsibilities:
  • Serves as the primary receptionist for the high school office; greet visitors in a friendly manner and respond to inquiries in person, by phone, and via email with professionalism and confidentiality
  • Provide administrative support to the administrative team and school staff
  • Maintain student records, attendance, and confidential files in accordance with state and district policies
  • Manage daily attendance, including tracking absences, tardiness, truancy, and early dismissals
  • Prepare correspondence, reports, and school communications
  • Coordinate office operations, including scheduling appointments, meetings, and events
  • Maintain calendars and assist with building logistics and event coordination
  • Ensure compliance with applicable policies, procedures, and confidentiality requirements (FERPA)
  • Perform other duties as assigned by the administrative team or designee
Qualifications:
  • High school diploma required; associate's or bachelor's degree preferred
  • Prior experience in an office or school setting preferred
  • Ability to work as a team with strong interpersonal skills
  • Strong organizational and communication skills
  • Proficiency in office software (e.g., Google Workspace, Microsoft Office)
  • Ability to manage multiple tasks and maintain attention to detail
  • Ability to maintain confidentiality and exercise sound judgment
  • Experience with student information systems (e.g., PowerSchool) preferred
  • A positive, professional demeanor
Work Environment:
Fast-paced school office environment with frequent interruptions Regular interaction with students, staff, families, and the public
Physical Requirements:
Ability to sit, stand, and move about the office for extended periods Occasional lifting of light to moderate office materials
