Job Description

About us
Responsibilities:
  • Greet and welcome visitors in a professional and friendly manner
  • Answer and direct phone calls, take messages, and provide information to callers
  • Manage incoming and outgoing mail, packages, and deliveries
  • Maintain office supplies inventory and place orders as needed
  • Assist with basic bookkeeping tasks
  • Perform clerical duties such as filing, photocopying, scanning, and faxing
  • Assist with proofreading documents for accuracy and completeness
  • Reconciles select accounts monthly
  • Ensures that all manufacturer accounts including warranty claims, rebates, interest, and co-op advertising accounts are current and accurate.
  • Prepares sales tax reports in a timely, accurate manner
  • Oversees collection of past due accounts
  • Compiles information and prepares reports as requested by management and/or dealer principal
  • Processes paperwork for new employees
  • Keeps all manufacturer's catalogs and price lists updated
  • Tracks customers through system for mailings, marketing, and other correspondence for sales department
  • This position may require traveling between branch locations
Requirements:
  • Previous experience as a receptionist or administrative assistant preferred
  • Proficiency in using Microsoft for email communication, calendar management, and document editing
  • Familiarity with phone systems and ability to handle multiple phone lines efficiently
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Attention to detail and accuracy in data entry and proofreading tasks
  • Excellent verbal and written communication skills
  • Ability to work independently as well as part of a team in a fast-paced environment
