Job Description

HUFFARD HOUSE INTERIOR DESIGN OFFICE ASSISTANT
We are seeking a part-time office assistant to join our team. The ideal candidate will have a can-do attitude, be a quick study, have impeccable attention to detail and the ability to juggle and track a lot of items at once. An interest in residential interior design is not necessary but would be nice. This is an entry level, hourly position that will start at 20 hours per week (with the potential for more). The candidate will be responsible for office administration, monthly reports, invoicing, data entry, as well as support for the designers and project managers at Huffard House.
OFFICE ASSISTANT RESPONSIBILITIES
  • Enter goods and services data into design software (Design Manager)
  • Coordinate monthly and annual financial tasks and reports for bookkeeper (such as monthly payroll, banking statements, and Maine state sales tax)
  • Assist with invoicing and product purchasing
  • Maintain organization of project binders and files
  • Perform clerical duties such as filing, photocopying, and data entry
  • Inspect, label, and inventory goods received in-office
  • Request pricing, gather quotes, and order samples
  • Set up and maintain vendor trade accounts
  • Maintain organization of office library samples
  • Pickup and return samples to local vendors and showrooms
  • Assist with installations of furniture and deliverables for clients/projects
REQUIREMENTS
  • Experience in Office Administration or similar role
  • Proficiency in Design Manager, Excel, and Google Suite
  • Exceptional organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to handle confidential information with integrity
  • Experience working in an Interior Design firm is a plus
