Job Description

Job Summary The Administrative Specialist (EA) supports an unaccompanied children's shelter funded by the Office of Refugee Resettlement (ORR). The shelter cares for children and youth ages 0-17. This key position will manage a variety of administrative tasks to support the program's day to day activities. To be successful, the Administrative Specialist must be well-organized, have great time management skills, and be able to act without much guidance. This position requires contact with highly sensitive information and must always maintain confidentiality. The AS ensures that shelter care services adhere to Michigan Department of Health and Human Services (MDHHS), Office of Refugee Resettlement (ORR) and company policies and procedures. Must strictly enforce and adhere to ORR's Zero Tolerance Policy regarding abuse and neglect and all relevant ORR policies and procedures always ensuring the safety of the children and youth.
Wage:
$20.40 per hour
Requirements:
Must be 21 years of age or older to work directly with children and youth. Ensure completion of On-the-Job Training requirements. Must have work experience as an Administrative Specialist or similar role. Outstanding organizational and time management skills. Is trustworthy and does not abuse authority or misappropriate funds. Professional verbal and written communication skills. Discretion and confidentiality are a priority. Proactive approach to problem solving with strong decision-making skills.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Primary support to Program Director and/or Assistant Program Director as needed. Ensure that work is completed accurately and in a timely manner. Responsible for the completion of payroll activities such as reviewing sign in sheets, entering workhours, add approved leave hours, and/or reviewing time punches to ensure payroll will be correct for all program staff daily. Updates payroll information including entering any new employees, salary increases, bonuses, and overtime as needed into the payroll system. Responsible for the maintenance of Petty Cash, report any discrepancies in Payroll and petty cash funds to Chief Administrator.
EDUCATION AND EXPERIENCE REQUIREMENTS
High School Diploma or GED required with 5 or more years of experience working in a busy front office or accounting setting preferred. ORAssociate or bachelor's degree in business, accounting, or other related field with 1 year of experience may be considered in lieu of additional experience.
