Job Description

POSITION SUMMARY
Alpine Township is seeking qualified applicants for the position of Deputy Clerk. This position assists the Clerk's Office with elections administration, payroll and accounts payable processing, records management, HR administration, cemetery administration, Freedom of Information Act (FOIA) coordination, Township Board meeting preparation, and other administrative and statutory functions. The Deputy Clerk performs the duties of the Township Clerk in her absence.
ESSENTIAL DUTIES & RESPONSIBILITIES
Assist with the administration of local, state, and federal elections Prepare legal notices, ballots, test decks, election supplies, and voting equipment for elections Process absentee ballot applications and maintain election records in compliance with Michigan election law Maintain the Qualified Voter File (QVF) and assist with voter registration activities Creates candidate filing packets, accepts candidate filings, processes candidate and proposal petitions Participate in the hiring, scheduling, training, and supervision of election workers Assist with payroll processing, accounts payable functions, and general ledger support in BS&A Assist with various human resources and benefits administration functions, including onboarding, insurance coordination, retirement enrollment, workers compensation and compliance reporting Assist with coordinating and responding to Freedom of Information Act (FOIA) requests Assist with preparing Township Board meeting packets, agendas, resolutions, minutes, and official correspondence. Serve as Recording Secretary for Township Board meetings Assists with records management and retention Assist with cemetery administration including grave and niche transactions, record maintenance, vendor coordination, pricing updates, and cemetery mapping Provide customer service to residents, vendors, and outside agencies as needed Post website and social media updates as needed Serve as a Notary Public as needed Perform other related duties as assigned
REQUIRED QUALIFICATIONS
High school diploma or GED Valid Michigan driver's license Possess or ability to obtain Election Accreditation through the Michigan Bureau of Elections, complete Qualified Voter Training (QVF), and Election Inspector Training within 45 days of employment Experience with election administration and working knowledge of Michigan election law and procedures Excellent customer service, organizational, and communication skills Proficiency with Microsoft Office and general computer systems Ability to manage multiple deadlines and changing priorities in a fast-paced environment Ability to attend evening board meetings and work additional hours during elections as needed Ability to lift and move election equipment and records up to 25 pounds Notary Public commission or ability to obtain one within 90 days of hire
PREFERRED QUALIFICATIONS
Election Officials Accreditation through the Michigan Bureau of Elections Experience in municipal government, office administration, accounting, or BS&A financial software Accounts Payable, Payroll, or HR experience Experience handling Michigan FOIA requests Experience with Michigan's Qualified Voter File (QVF) Progress toward MiPMC and/or CMC designation
COMPENSATION & BENEFITS
