GENERAL PURPOSE
The Conference Center Coordinator oversees the Firm's conference center, greets clients and visitors, schedules and sets up for meetings, and answers the telephone for multiple offices. This position also supports other administrative departments. The coordinator will also supply information regarding the organization to visitors.
RESPONSIBILITIES
Organize conference and meeting room bookings based on capacity and technology requirements. Assist in coordination of events and organize catering as requested. Answer multi-line phones, screening and forwarding incoming calls. Ensure conference rooms and reception area are cleaned and stocked. Provide other administrative assistance such as running and clearing conflict checks, opening new matters, general administrative, typing, filing, copying, scanning or library assistance. Greet persons entering office, monitor visitor access and maintain security awareness Notify individuals with whom the visitor(s) have appointments and direct visitors to correct destination. Track hand deliveries upon receipt, notify appropriate attorney and legal assistant or Digital Support for delivery. Maintain and regulate inventory relevant to reception area, kitchens and conference rooms. Cooperate with members of the Operations Department and other administrative departments as necessary.
SKILLS AND ABILITIES
Effective verbal and written communication skills, with strong attention to detail Ability to work effectively as a team member Excellent computer skills with knowledge of Outlook preferred Reliable and strong work ethic
EDUCATION, EXPERIENCE AND/OR TRAINING
