The Job:
The Office Assistant is often the first point of contact for clients and plays a critical role in ensuring smooth daily operations, excellent client service, and strong internal communication. This role is ideal for someone who is detail-oriented, dependable, and genuinely enjoys helping others. Key Skills and Abilities for Day-One Success Professional, warm, and confident communication with clients in person, by phone, and via email Active listening skills with the ability to gather information, identify needs, and respond appropriately Ability to handle client questions or concerns calmly and escalate issues when needed Timely follow‑through (responding to messages and emails within established, required timeframes) Strong organizational skills with the ability to juggle multiple priorities at once Exceptional attention to detail when creating, updating, and auditing client records Consistent accuracy in scheduling, documentation, data entry, and inventory tracking Reliable follow‑through on tasks without needing close supervision Proficiency using scheduling systems, email, calendars, and shared digital files Comfort working in Electronic Health Records (EHR) or similar confidential systems Ability to create, manage, and organize electronic records securely Basic troubleshooting skills for common office technology and systems Proficiency using scheduling systems, email, calendars, and shared digital files Comfort working in Electronic Health Records (EHR) or similar confidential systems Ability to create, manage, and organize electronic records securely Basic troubleshooting skills for common office technology and systems Collaborative mindset and strong internal customer service skills Dependability, punctuality, and accountability Genuine interest in contributing to a positive, trauma‑informed workplace Alignment with Bright Spot Counseling's values around inclusion, respect, and quality care Minimum Qualifications (required): Applicants must meet all minimum qualifications to be considered: High school diploma or GED 3+ years of customer service experience 2+ years of administrative experience in a medical or mental health setting
Preferred Qualifications:
1 year of experience in an administrative support role Experience with medical or mental health billing Essential Job Duties (not a complete list): Serve as the primary contact for clients via phone, email, and in person; respond to messages within 24 hours Schedule clients, support intake processes, and assist with billing inquiries Maintain accurate client records and charts within our EHR system Support administrative onboarding and offboarding of employees Manage office supplies, key inventory, and coordinate office maintenance needs Communicate important updates from leadership to staff Support a collaborative, calm, and professional office environment Follow HIPAA, safety, and company policies consistently
Schedule & Pay Full-time:
25-35 hours per week Set schedule after onboarding (Monday-Friday business hours + occasional evening or Saturday shifts) Why Bright Spot Counseling? Pay:
$22.00 - $28.00 per hour
