Job Description
We are seeking a proactive and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This dynamic role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth daily operations. The ideal candidate will demonstrate exceptional organizational skills, excellent communication, and a keen eye for detail. Responsibilities Manage and maintain executive calendars, scheduling meetings, appointments, and events with precision using tools like Google Calendar and Google Workspace. Conduct Interviews during hiring process. Coordinate and organize various projects, ensuring deadlines are met and deliverables are on track through effective project management practices. Handle all aspects of office management, including filing, data entry, document proofreading, transcription, and maintaining organized records. Provide exceptional executive administrative support by preparing reports, drafting correspondence, and managing phone etiquette across multi-line phone systems. Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping. Facilitate event planning for functions or meetings, ensuring all logistics are handled efficiently. Support front desk duties such as greeting visitors, answering calls professionally, and managing office supplies to maintain a welcoming environment. Skills Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar. Excellent typing speed and accuracy for data entry, transcription, and proofreading tasks. Experience with office management software such as QuickBooks and DocuSign for digital signatures and document signing processes. Strong communication skills with professional phone etiquette across multi-line phone systems. Ability to coordinate multiple projects simultaneously while maintaining attention to detail. Knowledge of clerical procedures including filing systems, customer service principles, and front desk operations.
