POSITION PURPOSE
Administrative Assistant III will support the Plant Operations (Buildings & Grounds) department at Trinity Health Livingston in Brighton MI. Full-Time, scheduled 40 hour per week, scheduled 7 a.m. to 3:30 p.m. No Weekends, Holidays or On-Call. On-Site at Trinity Health Livingston in Brighton. The compensation range for this role is $21.65-$31.39 per hour, with placement within the range determined based on experience, The Admin Asst III is a senior-level admin who provides comprehensive administrative support within the department. Manage procurement and financial workflows, including processing invoices, placing orders, and coordinating with vendors on repairs, scheduling, and billing issues. Oversee daily maintenance operations by prioritizing work orders, dispatching staff, and serving as the liaison between maintenance teams and internal customers. Maintains critical systems and records, including timekeeping in UKG, preventive maintenance tracking, safety documentation, and reporting on performance metrics. Supports operational planning and communication by preparing data for leadership and ensuring accurate documentation through systems like Maintenance Connection.
QUALIFICATIONS
Education:
Associates degree or equivalent, minimum of 7 years of administrative support experience. Must have additional formal clerical and PC training.
Experience:
B asic knowledge of the specialized field in order to complete task/projects, approve transactions (e.g. forms processing, payroll or purchasing), or resolve non-routine administrative problems. Ability to advise and determine applicable policy, procedures and requirements.
WHAT YOU WILL DO
Problem-solving :
Identifies and resolves operational challenges across staffing, budgeting, purchasing, and processes, developing improved methods where needed.
Analytics :
Research, compiles, and analyzes data; maintains databases; ensures data integrity; and produces insights and recommendations.
Leadership:
Trains and guides staff, delegates work, and supports onboarding and team development.
Budgeting:
Prepares forecasts, tracks spending, resolves discrepancies, and authorizes expenditures within guidelines.
Coordination :
Manages complex calendars, meetings, events, and travel logistics with attention to priorities and protocol.
Gatekeeping:
Screens communications, manages access to leadership, routes requests, and prepares informed responses.
Documents:
Drafts, edits, and finalizes complex correspondence, reports, and materials with high accuracy and discretion.
Service:
Engages with diverse stakeholders to provide guidance using strong knowledge of organizational operations.
Operations:
Oversees calls, visitors, supplies, purchasing, equipment, and day-to-day office management.
