Job Summary:

Essential Duties:
Assist all Business Office staff with departmental purchasing, records retention schedules and documentation of departmental transactional processing. Process purchase orders for the district and assist with purchasing processes and vendors. Manage building use rental. Responsible for the following for the Food Service program: o Food service point of sale system, including annual maintenance of student accounts. o Daily lunch and breakfast reconciliation including online deposits. o Direct certification. o Monthly State reimbursement process, including Michigan Meals Program. o Public yearly notices in newspaper and district website. Job Description Continued o Assist with the food service contract bid, when necessary. o Annual student balance review. o Eligibility of benefits processing (free/reduced program applications). o Attend Nutrition Program training and document with Food Service Director. Maintain liability insurance and file claims. Research and process property transfer requests. Assist with online payment system and processes for Infinite Campus School Store. Complete payroll for Business Office. Assist in the processing of payroll, including collecting timesheets and aggregating time for building and grounds and backing up the transportation department. Assist in child account audits as needed or requested. Prepare applicable audit schedules and reports. Maintain copy machines, fax machines and other office equipment. Responsible for updating departmental receipt spreadsheets after receipting revenue. Generate accounts receivable invoices. Maintain credit card expense documentation and use reports for monthly statement balancing. Act as main Vendor processor for adding, updating and verifying Vendor information. Act as a backup for the Business Office Secretary and Curriculum and Instructional Secretaries. Assist in preparing and publishing bids. Willingness to adjust hours to be available for meetings, activities, absences and special projects. Maintain regular, predictable in-person attendance. Follow work rules. Adhere to MCISD Board policies and guidelines. Carry out all other responsibilities as assigned.
Education:
Minimum of an associate degree, required, emphasis in Accounting, Business Administration, or related field, preferred.
Testing:
Prior to hire must successfully pass Microsoft Office Suite Normal User Test (Word, Excel).
Experience:
Minimum of two (2) years' secretarial experience in office setting and/or school setting, preferred. Experience with Powerschool eFinancePLUS and related modules. Experience with Infinite Campus, I.C. POS, School Store and related modules. SKILLS/OTHER
Proficiency in Microsoft Office Suite. Demonstrated math and accounting proficiency (testing may be required). Excellent organizational skills. Flexibility and adaptability to a variety of tasks. Excellent communication skills, confidentiality, and customer service orientation. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Ability to deal with problems involving several variables in standardized situations; and/or ability to solve practical problems and deal with a variety of variables where only limited standardization exists. Ability to effectively use common computer software such as word processing, database, spreadsheet, and presentation software. Ability to grasp position-specific software and hardware with minimal training. Note taking skills preferred. Demonstrated ability to make sound judgements regarding establishing and organizing work responsibilities and meeting deadlines. Demonstrated ability to take initiative and work with a variety of people in a team environment. Demonstrated ability to handle a wide variety of situations with public and staff with professionalism. Desire and ability to engage in continuing education and skills upgrading.
