Job Description

Description We are looking for a dedicated Executive Assistant to join our team in Norton Shores, Michigan. This long-term contract position offers an opportunity to contribute to a variety of office tasks while supporting the sales team and maintaining efficient operations. If you are detail-oriented and thrive in a fast-paced environment, this role is ideal for you.
Responsibilities:
  • Manage and organize files to ensure accurate record-keeping and easy retrieval.
  • Provide administrative support to the sales team, including preparing documents and maintaining schedules.
  • Handle marketing updates and ensure timely communication of changes.
  • Perform receptionist duties, such as greeting visitors and answering inbound calls.
  • Scan and digitize documents for efficient storage and access.
  • Assist with general clerical tasks to maintain smooth office operations.
  • Coordinate with team members to ensure deadlines and priorities are met.
  • Address inquiries promptly and professionally to maintain positive relationships with clients and colleagues.
  • Maintain a clean and organized workspace, fostering a productive environment.
Requirements + Concur use- if any for review of multiple expense reports per our policy + PowerPoint presentation creation + Financial acumen + Create Excel spreadsheet with formulas would be outstanding! + Coordinating and Booking schedules, hotels, cars, flights, meetings + Ability to work confidently for a President Proven experience in administrative duties, including handling inbound calls and greeting visitors.
  • Proficiency in scanning and digitizing documents for electronic storage.
  • Strong organizational skills to manage files and support multiple tasks efficiently.
  • Excellent communication skills, both verbal and written, to interact with team members and clients.
  • Ability to perform clerical tasks accurately and with attention to detail.
  • Familiarity with office equipment and basic computer applications.
  • Adaptability to handle a variety of responsibilities in a fast-paced setting.
  • A proactive attitude and willingness to collaborate with others to achieve team goals.
