Secretary PMP Personnel Services is partnered with a confidential organization in Petoskey, MI seeking a dependable and detail-oriented Secretary. This part-time role provides administrative, front office, and clerical support in a professional office environment, with a strong focus on customer service, scheduling, and accurate record keeping. This is a great opportunity for an organized and professional individual who enjoys helping others, multitasking in an office setting, and supporting important community services. What You'll Be Doing Answer incoming phone calls and route communications appropriately Greet and assist visitors in a professional and welcoming manner Schedule client appointments and send reminders for medical and nursing visits Review daily call logs and update schedules as needed Maintain accurate records and update agency information systems Create, print, and manage reports and documentation Scan, upload, and organize clinical and client records accurately Verify insurance coverage and monitor changes as needed Support grievance, complaint, and customer service processes Monitor waiting area and notify staff of client arrivals Provide information on community, mental health, and related services Open, sort, and distribute mail and maintain office supplies Screen and appropriately route crisis-related phone calls Maintain confidentiality in all communications and record handling Cross-train and provide support for other clerical staff as needed Perform additional duties as assigned by office leadership What We're Looking For High School Diploma required (secretarial coursework preferred) 2 years of general office, receptionist, or clerical experience preferred Typing skills (~60 WPM preferred) Strong communication and customer service skills Ability to maintain strict confidentiality at all times Strong organizational skills and attention to detail Ability to multitask in a busy office environment Proficiency with office computer systems and software Professional, calm, and supportive demeanor Ability to follow policies, procedures, and regulatory guidelines Reliable transportation required Valid Michigan driver's license with satisfactory driving record required Why You'll Like This Job Consistent part-time weekday schedule Stable office environment with structured responsibilities Opportunity to support meaningful community services Variety of administrative and customer service tasks Team-oriented workplace culture Opportunity to build strong clerical and office skills Predictable schedule with work-life balance Real Talk (So You Know What to Expect) This position requires professionalism, confidentiality, and the ability to remain composed in a sensitive work environment.
