Job Description

Overview We are seeking a dynamic and highly organized Office Assistant to join our team and ensure the smooth operation of daily office functions. This role is vital in maintaining an efficient, welcoming, and professional environment. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for providing outstanding administrative support. As an Office Assistant, you will be the first point of contact for visitors and callers, manage essential clerical tasks, and support various office management duties to keep our operations running seamlessly. Responsibilities Greet visitors warmly and handle front desk duties with professionalism and enthusiasm Manage multi-line phone systems, direct calls accurately, and provide exceptional customer service Perform data entry, filing, and maintain organized records using Microsoft Office and Google Workspace tools Assist with calendar management, appointment scheduling, and coordinate meetings or events Support bookkeeping tasks using QuickBooks or similar accounting software as needed Handle clerical responsibilities such as proofreading documents, managing correspondence, and maintaining office supplies Provide general administrative support including photocopying, faxing, and managing incoming/outgoing mail Maintain a tidy and organized office environment to promote efficiency and safety Experience Prior office management or administrative experience in a fast-paced environment Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is preferred Strong organizational skills with the ability to multitask effectively Excellent phone etiquette and customer service skills for handling inquiries via phone or in person Bilingual abilities are a plus to serve diverse client needs effectively Familiarity with office equipment such as multi-line phone systems, fax machines, and printers Demonstrated ability to manage calendar scheduling, data entry, filing systems, and proofreading tasks efficiently Join us to be part of a vibrant team where your organizational talents will shine!
