Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to our providers and clients alike. The ideal candidate will be proactive, resourceful, and eager to contribute to our company's success. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Answer phone calls, emails, and client inquiries in a professional and compassionate manner Schedule client appointments and help manage providers calendars, and at times document proofreading to ensure accuracy and confidentiality Verify insurance information and assist with client intake paperwork. Utilize computer skills across Microsoft Office Suite (Word, Excel) and EHR software for various administrative functions Assist with billing, invoicing, and payment collection Provide customer support via phone or email, addressing inquiries promptly and professionally Oversee office supplies inventory and coordinate procurement as needed to maintain a well-stocked workspace Perform clerical duties such as copying, scanning, faxing, and mailing documents with precision and efficiency Support personal assistant responsibilities when required, including travel arrangements or special project coordination Experience Proven office experience with a strong background in administrative support roles Familiarity with office management procedures and clerical tasks such as filing, data entry, and proofreading Experience handling and practicing effective phone etiquette Prior experience in customer service or customer support roles demonstrating excellent communication skills Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Knowledge of insurance verification and medical billing Demonstrated time management skills with the ability to multitask effectively while maintaining attention to detail Join us in creating an efficient, friendly office environment where your organizational talents can shine!
