This role is responsible for coordinating customer service activities, managing service contracts and repair processes, supporting field and lab services, and maintaining strong communication between customers, technicians, vendors, sales representatives, and management. The ideal candidate will thrive in a fast-paced industrial distribution environment, possess strong organizational and communication skills, and demonstrate the ability to manage multiple priorities with professionalism and accuracy. Key Responsibilities Customer Service & Order Management Reconcile, quote, invoice, and manage service contracts. Respond promptly and professionally to incoming phone calls and emails from customers and vendors. Coordinate technician schedules, lab equipment, calibration supplies, and service-related resources. Investigate and resolve issues related to inventory, pricing, deliveries, returns, credits, and technical concerns. Request RMAs and coordinate outside vendor repairs and calibrations. Prepare service quotations, obtain customer purchase orders, generate shipping documentation, and invoice both lab and field service activities. Maintain accurate records of customer interactions, service activity, and billing documentation. Technical Documentation & Administrative Support Maintain and update technical documentation, service records, and support resources. Coordinate communication between customers, sales representatives, service technicians, vendors, and management. Assist in improving workflow efficiency and supporting overall business growth initiatives. Product Knowledge & Team Collaboration Develop and maintain a strong understanding of process control products, instrumentation, parts, and related services. Learn and support the company's products, applications, and operational processes. Participate in product training, application training, and ongoing professional development opportunities. Qualifications Education & Experience High school diploma or equivalent required. Minimum of three (3) years of customer service or service coordination experience in an industrial, technical, or distribution environment preferred. Experience in process control, instrumentation, automation, calibration, or industrial distribution industries is highly preferred. Experience coordinating service repairs, vendor communications, or technical documentation is a plus. Skills & Competencies Strong customer service, communication, and organizational skills. Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. Excellent problem-solving and analytical abilities. Strong attention to detail and accuracy in quoting, invoicing, and documentation. Ability to interpret and apply written, verbal, and technical instructions. Proficiency in Microsoft Office and ERP/business management systems. Ability to work independently and collaboratively across departments. Physical Requirements & Work Environment Prolonged periods of sitting and working at a computer. Frequent communication with customers and internal teams via phone, email, and in person. Occasional reaching, bending, twisting, standing, and walking. Visual acuity required to view computer screens and printed materials. Manual dexterity required to operate office equipment.
