About this position The Senior Administrative Assistant plays a critical role in supporting the operational success of the Hospitalist Program. This position partners closely with the Program Manager to ensure the seamless execution of daily administrative and staffing functions necessary to maintain a high-performing, 24/7 clinical service. The role carries significant responsibility for provider scheduling oversight, including reviewing schedules for accuracy, assigning staff appropriately, and proactively addressing and resolving staffing gaps or coverage issues. Through diligent tracking and maintenance of scheduling reports, the Senior Administrative Assistant contributes to operational efficiency, workforce optimization, and improved resource utilization. A key component of the position is fostering effective communication across a diverse group of stakeholders. The ability to communicate clearly, professionally, and responsively is essential to ensuring alignment and continuity of care delivery. In addition to scheduling coordination, the role is responsible for processing provider timecards and managing CME requests and associated expense reports, ensuring accuracy, timeliness, and compliance with organizational policies. The position also oversees essential office operations, including managing supplies, mail, and fax communications, which supports the overall functionality of the department. This position requires a high level of organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Overall, this role is integral to maintaining operational stability, supporting provider satisfaction, and ensuring the Hospitalist Program can effectively meet patient care demands around the clock. Requirements Education- High school graduate or equivalent (i.e. GED) required. - Associates Degree preferred, but will consider experience in lieu of education. Experience
- Minimum of 5 years of administrative support experience required
- Previous health care experience preferred.
- Experience and familiarity with medical terminology preferred.
For Imaging Only:
Minimum of 5 years of customer service experience with ERIP and/or PACS strongly preferred.- Computer proficiency with Microsoft Office applications.
- Ability to set priorities, meet deadlines and work independently with minimal supervision.
- Knowledge of medical terminology preferred.
