  • Get it Done Job Summary Office Assistant is responsible for varied tasks within the organization.
They are responsible for taking and triaging incoming communications into the Company in a timely manner and with excellent communication with them, often as the first contact within the organization. The Office Assistant supports the field and potential customers by fulfilling product sample requests and maintaining our product sample inventory. Employee is also responsible for data entry in our CRM software, managing office supply needs, general office organization, and other ad-hoc requests. This position resides in the Twin Cities. Key Responsibilities Incoming Communications Triaging o Accountable for ensuring that all incoming emails and website forms requests are addressed timely o Direct incoming customer questions to the appropriate internal contact as the first point of contact into organization o Responsible for entering and updating contacts into CRM system timely o Engage in ongoing projects for data improvement exercises in our CRM system Marketing Samples o Responsible for fulfilling all sample requests from sales representatives and/or prospective or existing customers, including samples shipped to support marketing initiatives o Manage samples inventory, keeping list updated, and labeling of samples o Responsible for sample labelling o Direct point of contacts with UPS, FedEx and USPS for daily shipping, resident expert on shipping process/pricing Office Support o Ensure office supplies and furniture are replenished and fulfilled as needed, with tracking and ordering as appropriate o Keep shared office spaces organized and tidy o Physical office organization o Maintain vendor contact lists o Participate actively in the planning and execution of company events o Greet and assist visitors when they arrive at the office Ad Hoc Assistance Support / One-off requests from leadership spanning the breadth of the company's operations Required Skills Organized, competent professional with excellent communication skills Ability to prioritize and complete multiple tasks that may vary in urgency between several projects and tasks without letting anything fall through the cracks Strong written and oral interpersonal communication skills to be used with internal department staff, as well as when consulting directly with our customers and external vendors Highly motivated self-starter and team player, possessing strong collaboration skills Ability to take initiative to solve problems independently and creatively Recognize and respond to potential problems with ability to maintain composure when things go wrong Possess the highest level of integrity, professionalism and quality standards Strong people skills; and attributes and competencies for being a team player Proficiency in the use of Microsoft products (Word, Excel, Outlook) Experience and Education Proven experience as an office administrator/coordinator/manager or in a similar role Physical Demands Exert up to 50 lbs. of force occasionally, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects.
