Job Description

Coordinates activities of the Risk Management and Corporate Compliance Department as well as supports the Facility Safety Officer and Emergency Preparedness Coordinator. Provides administrative and clerical assistance using communication skills, organizational skills, prioritizes multiple projects and applies good judgment in a highly confidential, fast paced environment.
Prinicple Accountabilities:
% of Time Spent 1. Performs general clerical duties, including transcribing and creating correspondence, maintaining files and records, ordering and maintaining supplies, scheduling meetings, reserving rooms and sending notices, answering multi-line phone system, and sorting and distributing all mail. 15% 2. Maintains Risk Managers calendars, schedules appointments, coordinates meetings. 5% 3. Handles incoming phone calls, fax transmittals, mail and visitors. 5% 4. Compiles and distributes highly confidential reports. 5% 5. Assists in gathering data and reviewing medical records for investigations. Opens suit, lien, and claims files when such arise. Communicates with hospital insurance representatives regarding information exchanged as necessary for management of claims. 10% 6. Communicates with hospital defense counsel and/or their designee to coordinate interviews or meetings and facilitates depositions of hospital witnesses. 5% 7. At the direction of the Risk Manager, assists in gathering information from internal departments and external vendors pertinent to a specific open case. 5% 8. Enters Security Reports regarding visitor incidents into the incident reporting system. Contacts all visitors involved in any incident on the property as a courtesy. 5% 9. At the direction of the Risk Manager, provides professional and general liability insurance information to internal and external customers. Prepares responses to requests for medical staff members malpractice claims history. 5% 10. Is a Notary in Missouri, and performs notary duties applicable to Risk Management. 5% 11. Creates and maintains numerous databases and departmental logs. 5% 12. Acts as a resource to employees regarding the electronic occurrence management system by answering the Help Desk phone and revising and editing training material. 5% 13. Assists the Facility Safety Officer in activities related to that role including but not limited to the coordinating, tracking and trending of Safety Compliance Rounds. Maintains safety policies. Records, types and distributes minutes for the EOC/Safety Committee meetings. 5% 14. Assists the Emergency Preparedness Coordinator with activities related to emergency Preparedness including but not limited to emergency drills and emergency response plans. Maintains HICS binders. Records, types and distributes minutes for the Emergency Preparedness Committee. 5% 15. Prepares agendas, transcribes and distributes meeting minutes for multiple committees. 5% 16. Performs other work duties as assigned. 5% Total 100% Employee is required to sit continuously and walk occasionally. Employee could lift/carry a light (1-20 lbs.) load occasionally. Employee is occasionally required to bend, squat, kneel, lift to overhead. Employee is occasionally required to reach forward and reach overhead. For repetitive action, employee is required to use both hands for simple grasping and pushing/pulling. Employee is frequently exposed to CRT terminal work. (

Supervised by:
Manager, Risk Management Department HS Diploma required. College degree or equivalent preferred.
