This role is critical in ensuring the efficient management of daily administrative tasks and assisting probation officers in maintaining accurate records and communications. Key Responsibilities Serve as the first point of contact for visitors and clients, providing a welcoming and professional demeanor. Manage phone calls, emails, and correspondence, ensuring timely and accurate communication. Maintain and update client files and probation records, ensuring confidentiality and compliance with office policies. Schedule and coordinate meetings, appointments, and court appearances for staff and clients. Prepare reports, memos, and other documentation as required. Assist with data entry and management of case management systems. Monitor office supplies and submit purchase requests as needed. Support special projects or initiatives led by the officers.
Qualifications Required:
High school diploma or equivalent. Proven experience in an administrative or clerical role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office technology. Strong organizational and time-management skills. Excellent written and verbal communication abilities. Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred:
Associate's degree or higher in business administration or a related field. Previous experience in a legal or criminal justice environment. Familiarity with case management or database systems.
