Position Summary:
Serves as the primary administrative and governance support to the Superintendent and Board of Education, ensuring efficient operations, legal compliance, and effective communication across the district. This position manages the daily functions of the Superintendent's Office with a high level of professionalism, discretion, and organizational skill, and serves as a trusted partner in supporting district leadership and Board governance.Essential Job Functions:
Executive Support- Manage and prioritize the Superintendent's calendar, including scheduling meetings, events, and travel
- Prepare correspondence, reports, agendas, and briefing materials on behalf of the Superintendent
- Screen and manage incoming communications, ensuring timely and appropriate responses
- Anticipate needs and proactively prepare materials and logistics for meetings and events
- Track priorities, deadlines, and follow-up items to support Superintendent and district initiatives
- Coordinates communication with internal and external stakeholders, including community and governmental partners Board of Education Support
- Coordinate all logistics for Board of Education meetings, including agenda preparation, posting, and distribution of materials
- Responsible for posting meeting dates and all other required documents
- Maintain Board/Executive calendars
- Be present at all Board and committee meetings
- Maintain complete and accurate minutes of all regular and special Board meetings
- Serve as liaison between the Superintendent, Board members, and district leadership
- Maintain records of Board member attendance and notify the Board when attendance requirements are not met
- Receive and distribute official correspondence directed to the Board
- May assist with facilitation of Board meetings in rare circumstances as required by law Compliance and Records Management
- Serve as Custodian of Records and ensure compliance with Missouri Sunshine Law
- Post all notices required by law or as directed by the Board or Superintendent
- Maintain official Board records, reports, and documentation in accordance with state and district requirements
- File the Annual Secretary of the Board Report (ASBR) in accordance with law
- Maintain Board policies and administrative regulations
- Maintain records of Board elections and coordinate election processes, including required postings and filings
- Administer oaths or affirmations as required or delegated
- Issue, sign, attest to, or certify official documents as required by law or Board direction Office and Operational Management
- Oversee daily operations of the Superintendent's Office
- Manage the Board of Education budget and process purchase orders, vouchers, and reimbursements as well as track orders and manage related documentation
- Coordinate district-level and central office events, including Board meetings, holiday events, and retirement receptions
- Plan meals and logistics for meetings and events as needed
- Register Superintendent, Board members, and staff for conferences and coordinate all travel arrangements
- Collaborate with Executive Leadership Team members and other departments to ensure alignment of schedules and priorities
- Support the Director of Public Engagement and other departments as needed Additional Responsibilities
- Maintain a correct plat map of district boundaries and notify appropriate agencies of changes, if not assigned elsewhere
- Support onboarding and communication for new Board members
- Demonstrate sound judgment in handling sensitive and confidential matters
- Perform all duties in a manner that maintains the trust of the Board and the confidentiality of information
- Perform other duties as assigned or required by law or Board authorization Knowledge, Skills, and Abilities (KSA's) for Position Knowledge
- Administrative and clerical procedures and systems in a professional office environment
- Formats for correspondence, reports, records, and files
- District operations and relationships with local government and the community
- Applicable laws and regulations related to Board governance and public meetings
